My fiance and I have to pay for our own wedding, so we’re planning on doing an all-inclusive caribbean wedding that includes the actual ceremony if we stay 7 nights. So we can afford that. But we also want to celebrate when we return to the states with our family and friends, but we’re finding that the wedding receptions are the part that’s the most expensive. With about 80 guests, we need something we can do that’s under ,000, but not a cheap-o kegger. Any ideas?

Some might find this hard to believe, but planning a cheap wedding is quite easy to do. It’s also great fun and can be really unique and creative too! So if you’re planning a cheap wedding in the future, here are some great tips and ideas for you…

1. Cheap Wedding Locations. Planning a cheap wedding location is not impossible. In fact, you can have wedding ceremonies in a variety of places that are completely free. The local park is a great example. There’s usually no cost to go to a public park, and planning a cheap wedding ceremony there doesn’t usually require any permits or other fees either. Double check with your local city authorities just to be sure first of course.

The Beach is another free place to have a wedding ceremony, as is many churches for that matter. Other ideas include: Having your ceremony at a family member’s home, or having the ceremony in your own back yard. If the wedding couple loves nature, it may be free or very inexpensive to have the wedding ceremony at a local zoo, nature reserve, or flower conservatory too.

2. Cheap Wedding Receptions. Planning a low cost wedding reception is not too difficult either. One way to keep the reception super cheap is to make it a pot luck meal. You can have the guests each bring their own dish, and this could be requested in place of having them buy you wedding presents if you’d like.

If you’d rather not ask guests to bring food for your wedding reception, then ask a few family members to get together and cook the food as a wedding gift to you.

Planning a cheap wedding reception should also involve choosing cheap or free locations for the reception too. Try to make the wedding reception co-incide with the ceremony in some way. If you plan to have your wedding ceremony in the gazebo at the park for instance, then plan for the reception to be a barbecue or picnic style event in that same park.

Another easy and cheap example of course, is if you have the wedding ceremony in your home. Then you can plan to have the reception in your home as well, or out in the backyard if the weather is nice. 3. Cheap Wedding Decorations. When planning a cheap wedding you’ll of course need to keep the cost of decorations down as much as possible. You don’t have to go without them completely though, you just need to improvise.

Instead of buying expensive flowers for instance, try decorating with balloons and streamers instead. Go to a local craft or fabric store and buy a few spools of pretty ribbon, then tie the balloons together with strips of the ribbon done up in a bow. Also tie the ribbons into bows themselves, then tape the ribbon bows around for decorations by themselves.

Another idea for creating inexpensive table decorations is to simply collect some pretty rocks. Wash them clean, then arrange them creatively on tables or other surfaces. You could even paint the rocks to match your desired wedding color theme.

Here’s a great idea if you’re planning a low cost wedding that will have an outdoor, picnic or barbecue style reception: buy pretty paper plates and napkins instead of using expensive china dishes.

I have spent years managing and booking bands that play wedding receptions. Over the years working with hundreds of brides, I have been asked thousands of great questions about hiring a wedding band. I share the top five with you here.

How much does it cost?

No matter your budget, cost matters. For brides on a budget, this can limit your options. Knowing what you have to spend, even as a ballpark figure, will help you quickly narrow the field of potential entertainers. No need to waste your time talking to a $10,000 band if all you have is $2,000. Avoid looking at bands outside your budget – you get what you pay for and you will likely be disappointed if you do see that $10,000 10-piece band with horns and moving lights and have to settle for a 4 piece without any bells and whistles.
For those brides able to spend what it takes to hire the band you want, you still need to know the cost and the timing of payments so you can be prepared to pay what is required when it is required. But you have a great deal more freedom to find the band of your dreams without having to settle for something less.

What do I get for the price?

It is important to understand what you get for the price. The standard evening includes 3 hours of live music over a four hour period. Usually 3 1-hour sets with 2 30-minute breaks or 4 45-minute sets with 3 15-minute breaks. Whether there is any room to modify that schedule is important – after all, the band should accommodate the bride, not the other way around. It is important to know if the band provides sound equipment, lights, a sound engineer, load-in and load-out, etc. Are there any extra expenses such as meals or travel? The best way to know what you get is to talk to the band directly and, if at all possible, see them perform live at another wedding reception. Depending on what the bands offer, you may find that the higher priced bands are the better value.

Can I make requests for songs to be played or not played or learned?

Most bands are willing to accommodate requests within reason. I once had a bride hire a band only to go through the song list and ask the band not to play all but about 20 songs. To get through 3 hours, a band needs 36 – 48 songs. Obviously, we could not accommodate her requests. Quite frankly, if she wasn’t happy with 80% of the band’s repertoire, she should have hired another band.

Asking the band to learn a song is more complicated. While most bands will accommodate within reason, it is a much heavier burden on the band – all of the members must listen to the recording, chart out their parts, learn the parts, practice on their own and rehearse as a band. Because of the time involved, you must give the band plenty of lead time to learn songs. As an example, I like to have 60 days. It doesn’t take that long, but there are other requests that the band is learning for other events and your request needs to be scheduled in among the shows, requests and rehearsals with enough time to perform it convincingly.

Some songs cannot be faithfully replicated by every band. For example, no matter how hard they try, an 80′s one-hit-wonder cover band can’t do James Brown and an R&B band can’t do Radiohead. You should always ask, but recognize that there are limits to what can be done based on instrumentation, arrangements, recording techniques and other factors.

What happens if a band member gets sick or can’t make it to the show?

This is one of the best questions I have ever been asked. Things happen that are beyond anyone’s control: illness, accidents, even death. You can’t prevent these things, but you can prepare. Nearly every band can call someone to sit in at the last minute, but truly professional bands have a designated list of go-to professional players who have rehearsed with the band, played with the band, and know the show. Great story: Memphis Train Revue’s drummer got stuck in San Antonio when we had a wedding in Austin. With about 30 minutes to go, we went down our list and we were able to get Brannen Temple, a drummer handpicked by Janet Jackson for one of her tours, to sit in. The couple never knew anything was different. That’s how it should be, but it wouldn’t have been if Brannen wasn’t up to speed with the material and the show.

What guarantees do I have that the band will show?

Ultimately in life, there are no guarantees. How do you know that the officiant will show or the wedding cake or flowers or linens? At the end of the day all you have is trust. Unfortunately, weddings are typically one-off events. There is no opportunity to build ongoing relationships with vendors. What you have to go on is reputation and experience. Upstart bands have less to go on. Established bands have more. Here is what I know: professional wedding bands understand that the wedding community is small and word travels fast. There is simply no way to recover from ruining someone’s wedding reception. Word will get out and the band will never work again. Barring hurricanes, floods, and tornadoes (actually, I’ve had a band make it through a tornado), the professional band will be there.

Ultimately, the best way to guarantee success is to have a direct one-on-one relationship with the band leader or band manager. Good, open communication will go a long way to getting all of the important information out to all parties.

So you’ve exchanged vows, and have said your ‘I do’s,’ now it’s time to head out to the reception and party like you’ve never partied before. If you want live music playing in your reception, then you would want to hire a live band. But first, you must check with people that rent the venue where you’re going to hold your reception, to see what type of live music they allow. Some venues have stringent restrictions when it comes to live music.

The type of music that you choose to play in your wedding should be an expression of both the bride and groom’s personality, personal taste, and the overall theme of the wedding.

It’s very important to select the right music, because the music will become a pervading presence all through out the wedding, and right down to the reception. Music creates an atmosphere. It will set the mood of your wedding.

During the wedding itself, the choice of music usually depends on the wedding. Most church ceremonies don’t allow secular music. They stick to more traditional, or religious music. A man and a woman duet is usually sung during the ceremony. A church organist usually provides the majority of the music.

For the reception, the bride and groom has a choice of recorded music, or live music. If you opt for recorded music, it would be best to hire the services of a DJ. The best thing about this, is you can request to have all of your favorite songs in the playlist. Ask your friends if they know any good DJs that are willing to play for wedding receptions. If they don’t know any, you could always just search the yellow pages, internet, or even contact your local radio station.

Once you’ve settled on a DJ, have a one-on-one discussion with the DJ. Just to explain what type of entertainment and mood you want to have during the reception. Also discuss, the selection of music that you have in mind. Ask if the DJ’s familiar with wedding protocol. If not, you might want to brief the DJ first about the sensibility of the event.

On the other hand, choosing live music offers you a choice of hiring a band, soloist, instrumentalists, jazz group, etc. It all depends on what kind of theme you have in mind for you wedding.

For more formal weddings, classical groups, piano soloists, and instrumentalists are more appropriate. It would not be a bad idea, to also consider the sensibilities of your guests, to ensure that everyone has a good time!

If you want to have a rocking good time for the reception of your wedding, then hiring a band is the way to go! The energy of a live band gets people going. There’s nothing else that spells a rocking good time better, than a rock and roll band.

Before hiring a band, ask them if you could listen to their music first. This will help you decide if that particular band is just right for you. Also discuss, if the band will do emcee duties, as well as provide the music.

It’s best to hire a band that has had previous experience with wedding receptions. This way, they’d know what to expect, and will be able to provide the proper entertainment that’s fitting for the occasion.

You always want to keep the music going, so include some background music even when the meals are being served, or when the bride and groom are doing their rounds of greeting, having their pictures taken, etc. This will also maintenance the atmosphere of the wedding all through out the reception. So choose wisely, because your choice of music can make or break this occasion!
